Planning a wedding can be overwhelming and one of the most stressful parts of the wedding. There are so many things that go into planning a wedding. Where do you even start?

Your wedding day should be the most exciting day of your life, not the stressful part. There are so many variables that go into planning a wedding. During covid the need for a day of wedding coordinator has increased exponentially. The likelihood of a photographer cancelling last minute, your hair and make up artist getting sick, or family and friends deciding to not attend is more likely than ever. The last thing that you should have to worry about on your wedding day is handling these last minute issues.

A day of wedding coordinator is essential a month out wedding planner. All those conversations that we had over the final month will come to fruition on your wedding day. We make sure everything goes as planned without a hiccup. During covid we have seen a lot of uncertainty and having someone to relieve some of the stress is a necessity. Photographers running late, your hair and makeup artists gets sick, your guests can’t find the venue. These are all things that happen, and we take care of all of them.

I have seen many brides create their own timeline (good and bad) , or have their best friend handle these duties which is a bad idea. Your wedding day should be stress free and you should allow all your friends and family to enjoy the day without having to worry about any of the logistics that might arise.

Here are a few questions that can help you decide if having a day of coordinator is right for you.

What is the difference between a wedding planner and a day of wedding coordinator?

a wedding planner will plan everything from the moment you get engaged, until you do your sparkler exit. They will help with your vision, vendor recommendations, budget, and everything in between.

A day of coordinator comes into play about 30 days out from the wedding. Their job is to help couples who are planning the wedding themselves, and get everything organized and finalized leading up to the wedding. A day of coordinator is perfect for the couples who want to be hands on and handle all the planning themselves. There are so many great sites out there (wedding wire, the knot, facebook groups) that can help you find the perfect venue, photographer and videographer. But maybe you just want some help down the stretch? This is where we come in and allow you to enjoy your wedding day without a care in the world.

How much does a day of wedding coordinator cost?

A day of wedding coordinator will begin the process 1-2 months out from your wedding day. Typical packages range from $1500 – $5000. Most of the other vendors will have already been hired by this time, and it’s our job to ensure that all the vendors, family and friends are on the same page, and everything goes according to plan on the big day.

What does a day of coordinator do?

Organization and attention to detail are key! This is a first time process for most wedding couples so that are truly flying blind through the planning. With this in mind, we always recommend helpful ways to simplify planning including the use of AllSeated. The guest list, floor plan design, seating arrangements, and timeline tools are invaluable throughout the planning process.

What does a day of coordinator not do?

A day of coordinator is not responsible for duties of a full wedding planner. This means any vendors that was hired prior to our arrival, cannot be our responsibility. We will do our best to make sure everyone is on the same page, but we cannot guarantee that they will live up to our standards prior to and during the wedding day. That’s why it is important if that you do your due diligence when hiring other vendors. If you need recommendations please reach out to us.

Is a day of coordinator the same as a reception coordinator?

Most venues include a coordinator. Keep in mind this is not the same thing. Their job is primarily to make sure everything runs smoothly pertaining to the venue. They might overlap some of their duties, but it is not their primary concern if your hair and makeup artists are running late. This person works for your venue and not you.

Your wedding day should a day that you enjoy, not stress about. All those small details that you spent so much time and energy on should be out of you, your friends and families hands. Things are going to go wrong, but that shouldn’t be your concern. Enjoy your day and think about hiring a day of wedding coordinator to guide your wedding day and make it as amazing as you dreamed of.
